Hours:ย Full-time, Monday through Saturday, 9:00 AM to 5:00 PM

We are seeking an experienced and highly organized Executive Assistant/PA to support the CEO of Ziyan Textiles. As the CEOโ€™s right hand, you will play a critical role in streamlining executive functions, managing daily operations, and optimizing productivity.

Job Responsibilities and Tasks:
Oversee daily office operations, including scheduling, supply management, and vendor relations.
ยท Schedule meetings and appointments
ยท Provide top-notch executive support, including managing complex calendars, scheduling meetings, booking travel arrangements, and organizing events.
ยท Handle correspondence on behalf of the CEO, including drafting emails, reports, and presentations, and maintaining clear and effective communication across all levels of the organization.
ยท Maintain the highest level of discretion and professionalism while handling sensitive company information and CEO communications.
ยท support and assist staff development and training, including helping with new staff onboarding
ยท Manage contract and price negotiations with office vendors, service providers and office lease.
ยท Organize the office layout and oversee office maintenance, coordinating necessary repairs with external suppliers and contractors
ยท Arrange regular testing for electrical equipment and safety devices (either in the office or in the home if staff are working remotely)
Provide administrative assistance to leadership and staff, ensuring everyone has what they need to excel.
Plan and coordinate team-building activities, employee appreciation events, and community outreach initiatives.

Skills and Qualifications:
ยท Bachelor’s degree in business administration or related field
ยท Experience in a fast-paced, dynamic work environment
ยท Excellent problem-solving and critical thinking skills
ยท Minimum of 4-5 years of experience in an office management role
ยท Proven ability to manage and prioritize multiple tasks
ยท Excellent written and verbal communication skills

Proven experience as an Office Manager, or any PA to CEO
Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google Suite
Hands on experience with office machines (e.g. fax machines and printers)
Familiarity with email scheduling tools, like Email Scheduler and Boomerang
Excellent time management skills and ability to multi-task and prioritize work.
Quick thinker with a knack for identifying issues and implementing creative, practical solutions.
Ability to motivate and guide team members while fostering a culture of accountability and excellence.
