Pakistan Facilities Management is hiring a skilled Operations Assistant for our client at Islamabad. The role involves providing administrative, logistical, and procurement support to ensure smooth daily operations. You will work closely with the Operations Manager and team to coordinate activities, manage tasks efficiently, and maintain high organizational standards.

๐Ÿ”นย ๐Š๐ž๐ฒ ๐‘๐ž๐ฌ๐ฉ๐จ๐ง๐ฌ๐ข๐›๐ข๐ฅ๐ข๐ญ๐ข๐ž๐ฌ:
-Administrative Support: Provide comprehensive assistance to PRM (Pakistan Resident Mission) staff, including document preparation, correspondence handling, meeting arrangements, and maintaining updated contact databases; ensure operational tasks comply with organizational policies.
-Travel & Events: Coordinate local and international travel for staff and visitors, including ticketing, accommodation, and itineraries; plan and manage workshops, seminars, and official events with complete logistical support; arrange security clearances and VVIP passes.
-Support procurement by obtaining quotations, evaluating proposals, processing requests, and ensuring timely supply of goods and services; manage inventory and streamline resource usage for efficiency.
– Maintain well-organized physical and digital filing systems; prepare operational reports, track incoming/outgoing documents, and update SharePoint tracking sheets in coordination with relevant departments.
-Cross-Unit Assistance: Provide operational backup across multiple units (Urban, Energy, Finance, Administration, and External Relations) and assist the Operations Manager in supervising departmental activities.
– Ensure adherence to company policies, security procedures, and HSE standards; keep office and facilities safe, clean, and well-organized; identify gaps and recommend process improvements.

-Bachelorโ€™s degree in Engineering, Project Management, Finance, Business Studies, or a related field (Masterโ€™s degree preferred but not required).
-Relevant experience in operations, administration, or procurement,
-Excellent written and verbal skills; proficiency in MS Word, Excel, Outlook, and SharePoint.
-Strong planning, organizing, and time-management skills.
-Ability to handle multiple priorities under tight deadlines.
-Strong interpersonal skills with a collaborative and solution-oriented approach.
